Administrator Change Process Guide
Explains the steps an administrator should take to complete an Administrator Change, and also describes some use cases such as life events or benefits enrollment.
OVERVIEW
If you need to make changes to an employee's enrollment data, you can use an Administrator Change, which is a qualifying life event in the enrollment wizard only available to administrators. It allows the user to navigate through the enrollment wizard as a specific employee, and make corrections where applicable.
Benefits of completing an Administrator Change:
-
Change is documented with a confirmation report.
-
Plan benefits and deductions are both updated, in tandem (provided a deduction is mapped to the plan.)
-
The method can be utilized by any administrator with Enroll access in Namely Payroll.
TIP:
For more details on Namely Payroll access roles, read: Namely Payroll User Administrative Roles.
When to use an Administrator Change:
Administrator changes can come in handy for most corrections to employee enrollment data.
-
If an employee made an error when enrolling in plans.
-
If a plan was configured with an incorrect rate, and an employee enrolled and has an improper deductions.
-
If dependent enrollments need to be corrected.
PROCESSING AN ADMINISTRATOR CHANGE
To process an Administrator Change:
-
Go to Enrollment Setup > Configuration > Employee List and clicking Enroll next to the desired employee’s name.
-
Select I need to change a specific benefit and then Admins onlywhen prompted.
-
Select the date you want the changes to be effective when prompted.
TIP:
You should choose the most recent effective date. If you use a historical effective date the more recent ones will be overwritten.
-
Enroll in plans, making changes to elections where appropriate. The enrollment wizard will pre-populate with the employee’s present elections, so you should only make changes to plans that need to be modified.
-
We recommend reviewing the confirmation report from your Administrator Change prior to confirming it to ensure you're making the intended changes.
TIP:
The Administrator Change life event will allow you to enroll in plans on the coverage lines that have been mapped to the event on the Coverage Line Event Map page. For more information on mapping plans to life events, read: Creating and Mapping Coverage Lines.
